Members Settings

The Members Settings page is where you manage your organization's team, send invitations, and control who has access to different features within your Transfur organization.

Inviting New Members

Individual Invitations

To invite a single team member:

Navigate to Settings → Members
Click the Invite Member button
Enter the person's email address
Select their role from the dropdown
Optionally add a personal message
Click Send Invitation

Bulk Invitations

For inviting multiple members at once:

Click Bulk Invite
Enter multiple email addresses (one per line or comma-separated)
Select the role for all invitees
Add an optional message
Click Send All Invitations

Bulk invitations assign the same role to all invitees. If you need different roles, send individual invitations.

Managing Existing Members

Viewing Members

The members list shows:

  • Member name and email
  • Current role
  • Join date
  • Last active date
  • Status (active, pending invitation)

Changing Member Roles

To update a member's role:

  1. Find the member in the list
  2. Click on their current role
  3. Select the new role from the dropdown
  4. The change is saved automatically

Be careful when changing roles, especially when removing admin permissions. Ensure at least one owner remains.

Removing Members

To remove a member from your organization:

  1. Find the member in the list
  2. Click the three-dot menu (⋮) next to their name
  3. Select Remove Member
  4. Confirm the removal

Removed members:

  • Lose all access immediately
  • Can be re-invited later if needed
  • Their historical data (animals added, etc.) is preserved

Managing Invitations

Pending Invitations

View all pending invitations in the Pending Invitations tab:

  • See who was invited and when
  • Check invitation expiry dates
  • Resend or cancel invitations

Resending Invitations

If someone didn't receive their invitation:

  1. Go to the Pending Invitations tab
  2. Find their invitation
  3. Click Resend
  4. A new invitation email will be sent

Canceling Invitations

To cancel a pending invitation:

  1. Go to the Pending Invitations tab
  2. Find the invitation
  3. Click Cancel
  4. The invitation link will no longer work

Access Control Best Practices

Role Assignment Guidelines

  • Owner: Reserve for organization founders or directors
  • Admin: Assign to trusted staff who need settings access
  • Member: Default role for regular staff and volunteers
  • Moderator: For staff handling public-facing content
  • Volunteer: External helpers with minimal access needs

Security Recommendations

  1. Limit Admin Access - Only give admin rights to those who truly need it
  2. Regular Audits - Review member list quarterly
  3. Remove Inactive Members - Remove access for those no longer active
  4. Use Strong Passwords - Encourage all members to use strong passwords
  5. Two-Factor Authentication - Enable 2FA when available

Common Scenarios

Onboarding New Staff

Send invitation with appropriate role
Have them complete their profile
Provide training on Transfur features
Start with Member role, upgrade as needed

Transitioning Roles

When someone's responsibilities change:

  1. Update their role immediately
  2. Inform them of new permissions
  3. Provide any needed training
  4. Document the change

Offboarding

When someone leaves your organization:

  1. Remove their access immediately
  2. Transfer any important data they managed
  3. Update any processes they were responsible for
  4. Consider if their role needs to be filled

Troubleshooting

Invitation Issues

If invitations aren't being received:

  • Check spam/junk folders
  • Verify the email address is correct
  • Try resending the invitation
  • Contact support if issues persist

Permission Problems

If a member can't access expected features:

  • Verify their role is set correctly
  • Check if the feature requires a specific role
  • Ensure they're logged into the correct account
  • Try logging out and back in
