Medical Records

Upload vet bills and track an animal's complete medical history with AI-powered parsing

Accessing Medical Records

  1. Open an animal's detail page
  2. Click the Medical Records tab

This tab is only visible to owners, admins, and moderators.

Uploading Vet Bills

Click Upload Vet Bill to add a new receipt:

  1. Select a PDF or image file of the vet bill
  2. Click Upload & Parse
  3. The AI will automatically extract information from the document

Supported File Types

  • PDF documents
  • Images (JPG, PNG)

What Gets Extracted

The AI parses vet bills and extracts:

Clinic Information:

  • Clinic name and address
  • Phone number
  • Veterinarian name

Visit Details:

  • Service date
  • Receipt number
  • Diagnosis
  • Treatment notes

Services & Costs:

  • Individual services with prices
  • Medications prescribed
  • Subtotal, tax, and total
  • Payment method and amount paid
  • Outstanding balance

Follow-Up:

  • Follow-up instructions
  • Next appointment date

Confidence Levels

Each parsed receipt shows a confidence indicator:

  • High - Most fields extracted successfully
  • Medium - Some fields may need review
  • Low - Manual review recommended

Viewing Medical History

Vet receipts are displayed as expandable cards showing:

  • Header - Clinic name, date, and total amount
  • Expanded View - Full details including services, medications, and notes

Click on a receipt card to expand or collapse its details.

Services Section

Each service from the vet bill is listed with:

  • Service description
  • Quantity (if applicable)
  • Price

Medications Section

Prescribed medications show:

  • Medication name
  • Dosage instructions
  • Quantity
  • Price

Managing Records

Downloading Original Files

Click the Download button on any receipt to get the original uploaded file.

Deleting Records

Admins can delete vet receipts:

  1. Click the Delete (trash) icon on the receipt
  2. Confirm the deletion

Warning: Deletion is permanent and cannot be undone.

Tips for Best Results

  • Clear scans - Upload high-quality images or PDFs for better AI parsing
  • Complete documents - Include the full receipt, not just portions
  • Review extracted data - Check the parsed information for accuracy
  • Regular uploads - Keep medical records current by uploading after each vet visit

Common Issues

Low Confidence Parsing

If a receipt shows low confidence:

  • Check that the image is clear and readable
  • Ensure the entire receipt is visible
  • Handwritten notes may not parse well

Missing Information

Some fields may show "N/A" if:

  • The information wasn't on the original receipt
  • The AI couldn't locate that specific field
  • The document format was unusual

You can still use the record - the original file is always preserved.
